A distributor's inbox, line by line

A distributor's inbound is not a queue of orders. It is a queue of messages that contain orders, arriving in whatever form the retailer had a hand free for. This is what a day of it looks like, and what happens between the message and the sales order in your books.

How do WhatsApp orders get into Tally, Marg or Busy?

A message becomes a draft sales order matched against your own catalog, pricing tier and stock, ready to post into the ERP you already run. Anything the agent is unsure of waits for your team before it reaches the books or the buyer.

Every pattern below arrives at a real distribution counter.

What actually arrives5

Almost none of it is a list of item codes

uc-002

A voice note recorded while riding

— two named items and one remembered one

Do carton Maggi, ek Tata namak, aur woh biscuit jo pichli baar liya tha

“Two cartons of Maggi, one Tata salt, and that biscuit I took last time.”

UC-002HINGLISHKANPURPALANQUIN

What you'll observe

The named lines draft straight away. “That biscuit” is resolved from what this retailer actually ordered before, and named back for confirmation rather than assumed.

uc-008

Three hundred rows of Excel

— a monthly indent, sent as a spreadsheet

What you'll observe

Matched row by row against your catalog. Rows it cannot place are returned as a short list rather than buried in a draft of three hundred.

uc-009

An order that has to wait for the route day

— cold chain does not move because an order was placed

What you'll observe

It checks the route day before confirming, and says which day the order lands on. It does not confirm a delivery your van is not making.

uc-124

A shelf-edge label in the market aisle

— read by a retailer standing in front of the goods

What you'll observe

The label opens a conversation that already knows which item it is and what this buyer pays for it. They send a quantity and nothing else.

uc-063

A dark-store replenishment to confirm

— quick commerce, where the window is measured in hours

What you'll observe

The replenishment is confirmed against what you can actually despatch in the window, not against what is in stock somewhere. A confirmation that ignores the cut-off is a stockout with a receipt.

Into the books you already keep5

The order has to land where your accounts already live, not in a second system

Asked before the order4

The three questions a distribution counter answers more than any others

uc-012

“What is my rate?”

— a tier and a running scheme, in one sentence

Mera scheme wala rate lagana, hamesha ki tarah

“Apply my scheme rate, as usual.”

UC-012HINGLISHVARANASIPALANQUIN

What you'll observe

Their tier and the scheme you have actually set, applied and named. Where the ask goes below your floor, it stops at a person who decides.

uc-013

“Do you cover my area?”

— asked by a retailer you have not supplied before

What you'll observe

From your serviceability list. A new pin code is a question for your team, not an assumption from a neighbouring one.

uc-016

“What is the GST on this?”

— the number that decides the retailer's own margin

What you'll observe

From your own tax master, on that item.

uc-090

“Refill for the whole colony”

— one message, many delivery points

What you'll observe

Each address becomes its own line rather than one order with a note. What cannot be resolved to an address goes to a person.

Questions people ask before they try it

Does it write into our ERP, or only draft?

It drafts by default. Write-back into Tally exists and is off until you enable it; Marg is read-only by design. The order reaches your books when your team says so, not when the agent decides it is confident.

What if a retailer orders something we have discontinued?

It says so rather than substituting the replacement. A silent substitution is a return, and a return on a wholesale order costs more than the order was worth.

Our retailers send orders at midnight. Does that matter?

Only in that the draft is waiting when your team opens the day, instead of the message being. Anything needing a person is queued for a person — it does not get answered by the agent because the hour was inconvenient.

Test it, don't take it from us

Ask it: “Do carton Maggi, ek Tata namak, aur woh biscuit pichli baar wala.”

You're talking to the product. Nothing you send is added to any business's catalog.
